Creating Bots
A comprehensive guide to creating custom AI chatbots for your business — from choosing a name to writing the perfect system prompt.
What is a Bot?
A bot in Searj is an AI-powered assistant that you can embed on your website. It automatically responds to visitor questions based on the content you train it on and the instructions you define in the system prompt.
You can create multiple bots for different purposes — for example, one for customer service, another for sales, and a third for FAQs. Each bot has its own settings, training content, and widget.
Creating a New Bot
To create a new bot, follow these steps:
1 Open the Bot Creation Page
From the dashboard, click the "Create New Bot" button at the top of the page. The bot creation form will appear.
2 Fill in the Bot Details
Complete the following fields:
📝 Bot Name
Choose a clear name that describes the bot's purpose. This name is only visible to you in the dashboard — visitors won't see it.
💡 Examples: "Customer Service Assistant", "Sales Bot", "FAQ Bot — Main Site"
📋 Description (Optional)
Add a short description for your personal reference. This helps you distinguish between bots if you have more than one. Example: "Serves main website visitors — focused on pricing and services questions."
🎯 System Prompt
This is the most important field in bot settings. The system prompt is a set of instructions that define the bot's personality and behavior. Think of it as a detailed job description for a new employee.
A good system prompt should include:
- Bot identity — Who it is and which company/entity it works for
- Main tasks — What questions it should answer
- Response style — Formal or friendly, brief or detailed
- Language — Which language it should respond in
- Limitations — What it should NOT do (e.g., don't provide medical diagnoses)
⚠️ System prompt length: It's recommended to keep the system prompt between 100 and 1,000 characters for best results. Prompts that are too short produce generic responses, while very long ones may confuse the bot.
🌐 Language
Choose the primary language for the bot:
- Arabic — The bot always responds in Arabic
- English — The bot always responds in English
- Both — The bot automatically responds in the language of the question
👋 Welcome Message
This is the first message visitors see when they open the chat widget. Keep it short, friendly, and clear. Tell the visitor what the bot can help them with.
Examples:
- "Hello! 👋 How can I help you today?"
- "Welcome to Al Makan restaurant! Ask about our menu or book a table."
💬 Bubble Message
This is the short text that appears next to the floating chat button before a visitor clicks it. Its purpose is to encourage visitors to open the chat widget.
Examples:
- "Got a question? Chat with us! 💬"
- "How can we help?"
3 Save the Bot
After filling in all fields, click the "Create" button to save the bot. You'll be redirected to the bot page where you can start adding training content.
Bot Settings
After creating the bot, you can edit all its settings at any time:
- Edit settings — Go to the "Settings" tab on the bot page, edit any field, and click "Save"
- Delete bot — Click the "Delete" button at the bottom of the settings page. Warning: this action is permanent and cannot be undone
⚠️ When you delete a bot, all associated data is permanently deleted — including documents, conversations, and settings. This data cannot be recovered.
System Prompt Best Practices
Here are ready-to-use system prompts for common use cases. You can copy and customize them for your business:
🍽️ Restaurant
You are a helpful assistant for "Al Makan" restaurant in Kuwait City. Help customers with the menu, daily specials, opening hours (12 PM – 12 AM daily), location (Sharq area, Block 5), delivery options, and table reservations. Be warm and welcoming. Always respond in Arabic unless the customer writes in English.
🏥 Medical Clinic
You are the virtual receptionist for "Al Salam Clinic". Help patients with booking appointments, clinic working hours (Saturday–Thursday, 8 AM – 8 PM), available specialties (general medicine, pediatrics, dermatology, dentistry), insurance accepted (AFYA, Gulf Insurance), and clinic location. Never provide medical diagnoses or prescriptions. Always advise patients to visit the clinic for medical concerns.
🏫 School / University
You are the admissions assistant for "Kuwait International Academy". Help prospective students and parents with admission requirements, tuition fees, available programs (KG through Grade 12), school calendar, uniform policies, and transportation services. Be professional and informative. Respond in Arabic or English based on the parent's language.
🛒 E-Commerce Store
You are the customer service bot for "StyleKW" online fashion store. Help customers track orders, understand return policies (7-day returns for unworn items with tags), shipping information (free delivery over 15 KD, 1-3 business days within Kuwait), size guides, and payment methods (KNET, Visa, cash on delivery). Be friendly and helpful.
🏛️ Government Entity
You are the digital assistant for the Ministry of Commerce and Industry — Kuwait. Help citizens and businesses with commercial license inquiries, registration procedures, required documents, office locations and working hours, and online service portal navigation. Be formal, accurate, and cite official procedures. Do not make up information — if you are unsure, direct the user to visit the nearest branch or call the hotline.
General Tips
- Be specific in your system prompt — the clearer the instructions, the better the responses
- Mention your company name in the system prompt so the bot can introduce itself correctly
- Set limitations — tell the bot what it should NOT do to avoid inappropriate responses
- Test and iterate — try the bot after each change and improve the system prompt based on results
- Use a tone that fits your audience — formal for government, friendly for restaurants and stores
