Team Management

Searj lets you collaborate with your team by inviting members, assigning roles, and managing access to your bots — all from one place.

Overview

The team collaboration feature in Searj gives you the ability to work seamlessly with your team. Here's what it offers:

  • Shared bot management Team members can access and manage bots based on their assigned roles
  • Role-based access control Four role levels ensure each member has only the appropriate permissions
  • Activity tracking An automatic log that records all actions performed by team members

Creating a Team

To create a new team, follow these steps:

  1. 1Open the dashboard and click "Team" from the sidebar
  2. 2Click the "Create Team" button
  3. 3Enter a team name
  4. 4You'll automatically become the team Owner with full permissions

💡 Tip: Choose a clear, descriptive team name (e.g., "Customer Support Team" or "Marketing Team") to make it easy to identify later.

Roles & Permissions

Searj provides four distinct roles, each granting a specific level of permissions:

  • Owner Full control over the team: manage members, bots, settings, and delete the team
  • Admin Manage members (except the Owner), manage bots, and view analytics
  • Agent Respond to handoff conversations, and view bots and analytics
  • Viewer View-only — can see bots and analytics without making any changes

Inviting Members

To invite a new member to your team:

  1. 1Click the "Invite Member" button on the Team page
  2. 2Enter the email address of the person you want to invite
  3. 3Select the appropriate role for the new member
  4. 4An invitation email with a unique link will be sent
  5. 5The invitation expires after 7 days

ℹ️ Note: Admins can only invite members with the Agent or Viewer role. To invite another Admin, you must be the Owner.

⚠️ Each invitation link is single-use. Once used or expired, you'll need to send a new invitation.

Managing Members

As an Owner or Admin, you can manage team members in the following ways:

Changing a Member's Role

  1. 1Go to the Team page and find the member
  2. 2Click the dropdown menu next to the member's role
  3. 3Select the new role and confirm the change

Removing a Member

  1. 1Go to the Team page and find the member you want to remove
  2. 2Click the "Remove" button next to the member's name
  3. 3Confirm the removal in the confirmation dialog

⚠️ The team Owner cannot be removed. If you want to transfer ownership, the Owner must assign a new Owner first.

Activity Log

Searj automatically logs all actions performed within the team, giving you full transparency into what happened and who did it.

The activity log tracks the following events:

  • Member invitations Who was invited and who sent the invitation
  • Role changes Who changed the role and who was affected
  • Member removals Who was removed and who performed the removal
  • Bot assignments Which bot was linked to or unlinked from the team

📋 The log displays the user name, action type, and date & time for each event.

Assigning Bots to Teams

When you have a team, team members can access bots collaboratively. Here's how it works:

  • Bots created by any team member are accessible to the rest of the team
  • Access level depends on the member's role — see the permissions matrix above
  • The bot owner retains full control regardless of their team role

💡 Owners and Admins can create, edit, and delete bots, while Agents can only respond to handoffs, and Viewers have view-only access.

Deleting a Team

Only the team Owner can delete the entire team. This action is irreversible.

  2. 2Click "Team Settings"
  3. 3Click "Delete Team" and confirm the action

⚠️ Deleting a team removes all member access but does NOT delete any bots. Bots remain with their original owners.

Frequently Asked Questions

Can I be in multiple teams?

Currently, each account can belong to one team only. If you need to collaborate with different groups, we recommend creating a single team with all members and organizing them using appropriate roles.

What happens if the Owner leaves?

The Owner cannot leave the team directly. They must first transfer ownership to another member, after which they can leave or have their role changed.

Can I re-invite someone?

Yes. If the previous invitation expired or wasn't accepted, you can send a new invitation to the same email address.
